Connections

Providers and services, sign-in and key connections, and what each service status means.

A connection is a client's access to one provider, held by Operate As. A provider is who they sign in with, such as Google. A service is what you ask for, such as Google Sheets.

  • One sign-in covers every service you asked for from that provider. On the client's page they share one Google card.
  • Connections are per provider, so disconnecting Google ends every Google service for that client.

See Providers for every provider and its services.

Two ways to connect

Sign inPaste a key
Used byMost providersStripe, Calendly, Pipedrive and others with no sign-in for apps
The clientApproves on the provider's own screenMakes a key in the service's settings and pastes it on their page
It can doOnly the permissions they approvedWhatever that key can do
It lastsRenewed by Operate As before it runs outUntil it's deleted or changed in the service

In the dashboard's service picker, each service is marked Sign in or Paste a key. See Services that use a key.

Service status

StatusWhat it meansWhat to do
WaitingNot connected, or connected without a permission it needsSend the client their link
ConnectedReady to useNothing
ExpiredAccess ended and the provider refused to renew itSend them their link. They open it, confirm it's them with their passkey, and press Reconnect

Permissions decide Connected

When a client signs in, the provider tells us which permissions they approved. A service is Connected only if every permission it needs is on that list.

Google lets clients deselect single permissions, so one sign-in can leave Sheets Connected and Gmail Waiting. See Permissions.

Last used and reconnecting

Last used

Every call stamps the connection. You see “Used 2 hours ago” or “Not used yet” on the client and the Connections board; your client sees it as “Last used”.

Reconnecting

New access replaces the old connection and the status goes back to Connected. Your workflows keep calling the same client and service, unchanged.
